The mailbox has stopped syncing
Replies have stopped moving cards, the Rolehound folders in your mailbox have stopped filling, or the Inbox has stopped adding rows. Something has broken the connection between Rolehound and your mail.
Press Test โ the status does not check itself
Mailbox, Test. Do this first, because the status chip on that card is only refreshed when you save a connection, when you press Test, and when you come back from connecting with Google or Microsoft. Nothing in the background ever touches it. A mailbox that stopped working a fortnight ago will still be showing Ok until you ask it.
When the test fails, the chip turns red, the reason is written at the top of the card, and it is also appended to the server line underneath your username โ so you see it as something like imap.gmail.com ยท Could not connect to the mailbox with the given credentials.
The usual causes
An app password that has been withdrawn, or a mailbox password change that invalidated it. Several providers revoke every app password when the account password changes, so a routine password reset takes Rolehound down with it and gives you no warning that it has.
An OAuth grant you have revoked. Removing Rolehound from the connected-apps list in your Google or Microsoft account security settings ends its access straight away.
IMAP switched off at the provider, which some administrators do across a whole organisation.
Reconnecting
For an app password: generate a fresh one at your provider, put it in the App password field, and choose Save. The connection is tested the moment it saves, so you find out immediately.
For OAuth: choose Connect with Google or Connect with Microsoft again and grant access.
One thing worth knowing about those two buttons: they are shown whether or not this instance has been set up for OAuth at all. Where it has not, pressing one hands you straight to Google or Microsoft with nothing identifying the application, and they refuse it โ you get their error page, not ours, and you are never returned to the Mailbox tab. If that is what happens, no amount of retrying will change it, and an app password is the way in. Connecting with an app password has the fields.
Nothing is lost meanwhile
While the connection is down, messages simply stay in your inbox unfiled. Rolehound deletes nothing and trashes nothing, and a message it could not file is left exactly where it was.
The next successful run does not start from the moment it reconnects. It goes back a generous window before the newest message it has already recorded and reads forward from there, deliberately re-covering ground rather than risking a gap. You do not need to move anything by hand to make it catch up.
