Rolehound

Terms of service

Who these terms are with

Rolehound is provided by Kyrby Limited, a company registered in England and Wales (company number 10063736), whose registered office is 9 Bonhill Street, London, England, EC2A 4DJ. Below, we and us mean that entity, and you means the person holding the account. Using Rolehound means you accept these terms. If you do not accept them, do not use the service.

What Rolehound is

Rolehound is a job-search assistant. It searches job boards against criteria you set, reads job pages and email alerts you point it at, scores roles against the CV you import, drafts a tailored CV and cover letter for a role you choose, tracks your applications on a pipeline, and — if you connect a mailbox — reads the replies and moves that pipeline along.

It is a tool that does work for you. It is not a recruiter, an employment agency or an adviser, it has no relationship with any employer, and nothing it produces is advice of any kind.

Rolehound drafts applications. It never sends them.

This deserves its own heading, because it is the boundary the whole product is built around. Rolehound generates documents and hands them to you. It does not fill in an employer's form, does not press send, and does not email anybody on your behalf. Every application that leaves your hands is one you decided to make.

The same holds for your mailbox. Rolehound reads it and files what it has read into folders in your own account; there is no code in it that can send a message from your address, and no code that can delete one. What it does do to your inbox is set out in full in the privacy policy, and you should read that section before you connect anything.

Your account

You need an account, and the email address you give must be one you control — it is confirmed before the account can be used. Keep your password to yourself, turn on two-factor authentication if you can, and tell us promptly if you think somebody else has got into your account. You are responsible for what happens under it.

One account is for one person. Do not share your sign-in, and do not open an account in somebody else's name.

What you may and may not do

  • Upload only a CV and career history that are your own. Uploading another person's CV, or their contact details, without their permission is not allowed.
  • Use Rolehound for your own job search. Do not resell, redistribute or republish the listings, scores or search results it shows you, and do not run it as a data feed for another product.
  • Do not attempt to reach other people's data, probe or interfere with the service, or work around the limits on your account.
  • Do not use Rolehound to produce anything unlawful, abusive or misleading, and do not use it to misrepresent your history to an employer.
  • Do not extract data from the service by automated means beyond the features it offers you.

Job listings come from third-party sources and are shown to you under their terms, not ours. We do not own them and cannot grant you any right to them.

Your content

Your CV, your criteria, your applications and the documents generated for you remain yours. You give us permission to store and process them for one purpose only: running the service for you. That includes sending the parts a particular task needs to an AI provider, which the privacy policy sets out recipient by recipient. We do not train models on your content, and we do not use one account's content for another account's benefit.

You confirm you have the right to upload what you upload.

AI output is a draft, and checking it is your job

The scores, summaries, CVs and cover letters Rolehound produces are generated by AI models. They can be wrong. A model can misread a job advert, overstate a match, garble a date, or write a confident sentence about your career that is not true.

Read every document before you send it, and check what it says against your own record. You are responsible for everything you put in front of an employer, whatever produced the first draft of it.

A fit score is an opinion produced by software. It is not a judgement about your suitability, it carries no weight with any employer, and it is not a reason on its own to apply or not to apply.

Availability

We aim to keep Rolehound running and to fix things when they break, but the service is provided on a best-effort basis. There is no uptime guarantee here and none should be read into it.

The background work depends on services we do not control — job boards, AI providers, your own mail server, the postcode and routing lookups — and any of them can be slow, rate-limited or unavailable. When that happens the affected part of Rolehound pauses and picks up again later rather than failing outright. We may also change, add or remove features, and may take the service down for maintenance.

Payment

What is charged for, and how, is on the pricing page. Cancellation and refunds are on the refunds and cancellation page. Payments are handled by Stripe on their own checkout pages; card details never reach us.

Suspension and termination

You can stop using Rolehound whenever you like, and you can cancel a subscription yourself from the billing portal linked on the Billing page.

There is no self-service button that deletes the account itself. Ask us and we will remove it by hand — the privacy policy explains how that request works and what happens to your data.

We may suspend or close an account that breaks these terms, is being used to harm somebody, or that we are required by law to act on. Where it is reasonable to do so we will tell you first and give you a chance to put it right. If we close your account for something other than a breach of these terms, the refunds and cancellation page explains how to ask about credit you have bought and not used.

Limitation of liability

Nothing in these terms limits liability that cannot lawfully be limited, including liability for death or personal injury caused by negligence, and liability for fraud.

Subject to that: Rolehound is a tool, and we are not liable for the outcome of your job search. We are not liable for a job you did not get, a role you were not shown, a role Rolehound scored badly that you would have wanted, an error in a generated document that you sent without checking, or any decision an employer made. We are not liable for the accuracy, completeness or availability of listings from third-party sources, or for what any third-party service does or fails to do.

We are not liable for loss of profit, loss of earnings, loss of opportunity, or for indirect or consequential loss of any kind.

Where liability can lawfully be limited, our total liability to you for all claims is limited to the amount you paid us in the month immediately before the claim arose.

Changes to these terms

We may change these terms — because the product changed, because a service behind it changed, or because the law did. The current version always lives at this address. Where a change materially affects your rights we will email the address on your account before it takes effect. Carrying on using Rolehound after that means you accept the new version; if you would rather not, cancel.

Governing law

These terms, and any dispute arising out of them, are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction. If you are a consumer living elsewhere in the United Kingdom, you may also bring proceedings in the courts of the nation you live in. Nothing here removes rights you have as a consumer that cannot be given up by agreement.
